The Government have made it mandatory to introduce the e-office system and Biometric Attendance in Secretariat, Heads of Departments / Autonomous Organisations from the level of head office to village level offices in the State. In order to enroll all the Offices of State Government in biometric attendance and e-office portal and also for all other purposes, it has been decided to standardize the codes for offices of various heads of departments of the Government.

2. The Government therefore, after careful examination of the matter, have decided to adopt the code format for the Government offices in the State as follows:

HIERARCHY CODE - HOD CODE – HEAD OF OFFICE DESIGNATION CODE – DISTRICT
CODE - MANDAL NAME - VILLAGE NAME

1. HIERARCHY CODE:

Tier 1 (State level office): 
‘HO’ for Head of the Department or ‘UO’ for Unit Office (a state level office which is headed by a senior officer separate from the head office having its own staff and reporting to the head of the department)

Tier 2 (Zonal level office): 
‘ZO’ for Zonal /Range/Regional Office or Equivalent Office

Tier 3 (District level office): 
‘DO’ for District Office or ‘DU’ for District Unit office or Equivalent office (a district level office which is headed by a senior officer separate from the district office having its own staff and reporting to the HOD/UO/DO)

Tier 4 (Sub-District level office):
 ‘DV’ for Sub-District office or Equivalent office (a sub divisional office for a group of mandals )

Tier 5 (Mandal or Municipal level office):
 ‘MO’ for Mandal Office or Municipal Office or Equivalent office (mandal level offices include offices such as Circle Inspector of Police which have a jurisdiction over more than one mandal but are lower than sub-district offices.)

Tier 6 (Village or Ward level office):
 ‘VO’ for Village Office or Municipal Ward or Equivalent office.

2. HOD CODE. The HOD codes shall be as given in column 4 of Annexure

3. HEAD OF OFFICE DESIGNATION CODE. The office head designation codes shall be as given in brackets in columns 6 to 13 of Annexure.

4. DISTRICT CODE
Srikakulam: ‘SKL’; Vijayanagaram: ‘VZM’; Visakhapatnam: ‘VSP’; East Godavari: ‘EG’; West Godavari: ‘WG’; Krishna: ‘KRS’; Guntur: ‘GNT’; Nellore: ‘NLR’; Prakasam: ‘PRK’; Chittoor: ‘CTR’; Kadapa: ‘KDP’; Kurnool: ‘KNL’; Anantapur: ‘ATP’.

5. MANDAL NAME
The mandal name means either mandal name for rural areas or municipality or
municipal corporation name for urban areas. Use mandal names or municipal names a published in AP Government Gazette. 

6. VILLAGE NAME
The village name means either revenue village name for rural areas and municipal ward number for urban areas. Use village names as published in AP Government Gazette.

* Each item in the code shall be separated with a hyphen ‘-‘. All the alphabets shall be in capital letters only.

4. The pattern of codes for different hierarchy of offices shall be as follows.
Example: 
1) Head Office of CCLA : HO- REV02 –CCLA - IBRAHIMPATNAM

2) Unit Office of Animal Husbandry (Veterinay Biological Research Institute): UO- AHF02 – VBRI - SAMARLAKOT

3) Zonal Office of Technical Education (Regional Joint Director Office): ZO – EHE02 – RJD – EG - KAKINADA

4) District Office of Women & Child Welfare (Project Director Office): DO – WDC02 – PD – EG - KAKINADA

5) Sub-District Office of Sericulture (Assistant Director Office): DV-AGC04 – ADS – KRS - Vijayawada

6) Mandal Level Office of Police (Circle Inspector of Police): MO - HOM02 – CI – VSP - PADERU

7) Village Level Office of Panchayat Raj (Panchayat Secretary Office): VO - PRR02 – PTSECY – GNT – THULLURU - VELAGAPUDI

3. All departments of Government and Heads of department shall follow this nomenclature for naming the Government offices.

4. The Finance Department concurred with the above system of standardized codes for uniformity.

5. The NIC, AP State Unit, ITE & C Department and all other departments shall ensure the following while registering and identifying the offices :

i. The name of an office that is being registered in the Aebas system, in e-Office system or any other IT system shall be as specified in para 2; and
ii. The Location ID in Aebas System of NIC shall include a combination of District code, Mandal Name, and Village Name for each office.
